This Privacy Policy explains what information JJ Sports Entertainment, Inc. ("we," "us") collects through GPM Companion, our website at gamepresentation.ai, and related emails (together, "the Service"), how we use it, and your choices. It is part of our Terms of Service.
Account information. Email address, first and last name, and a password (stored by our authentication provider in hashed form, never in plain text). Each account is also assigned a GPM account ID (for example, GPM-10001), which we use to identify your account in support and billing records and which is saved to your customer record at our payment processor. We may also store a phone number, your organization name, an organization address and the billing address you give at checkout, collected through our payment processor or entered by us at your request. We use the phone number for account support. We use the organization address only if we need to physically send you something, such as printed materials or equipment. We do not use it for advertising and we do not sell it.
Subscription and billing records. Plan, trial and renewal dates, subscription status, and a transaction reference from Stripe. See "Payment information" below.
Event branding and settings. Event name and date, logo, optional dashboard background image, your color scheme, layout choices (including up to 10 named saved layouts), box names, cue labels, voice and sound choices, report recipient, time zone, venue location, and other settings you configure. These are stored in your account.
Teammate and View-Only invitations. If you invite a teammate or View-Only viewer, we collect their email address and, once they activate, their name and account details. View-Only viewers can see the owner's dashboard content as described in the Terms. You are responsible for having a legitimate reason to share information about other people.
Event Summary and event logs. Time-of-day marks, countdown cues, stopwatch marks and lengths, Promo Tracker check-offs, Proof of Performance fields and reports (kept on your device for up to 48 hours unless you copy, email or save them), break and timeout logs, decibel readings, notepad text, voice notes, AI and stored-data search results, and the event date, time, attendance, highlights, and opportunities you enter are used to build your Event Summary. These session logs live in your browser during use and are not saved to our servers unless a feature says otherwise; if you copy, email, download or save a summary or report, that content goes where you send it. We do not keep a copy of emailed or saved reports.
Content you create and upload. Notepad entries, Promo Tracker templates (including the moment names and custom categories you define, and the sponsor names, IDs, notes and contract details you type), To Do lists (including task text, owner names, due times, notes and long-range tasks), saved versions that let you restore an earlier template (up to 25 templates and 25 saved versions), uploaded team documents (rosters, content libraries, music catalogs, stats), and Reference Button files. Templates, To Do lists, settings and uploaded documents are stored in your account until you delete them.
Crew Alerts. Short messages (up to 250 characters) that you send to people in your network (your team, your View-Only seats, and accounts you are synced with). We store the message text, the sender and recipients, and whether and when each recipient read it, so the sender can see who has read it. Messages are deleted automatically after 24 hours. Do not put sensitive personal information in a Crew Alert.
Usage hours. While the app is open and visible, it records how long you have been using it, as a running total for each license year that starts again when your license renews. We use it to understand how the service is used and to support and improve it.
Saved clock state. So a browser refresh does not lose your place, the Break and Timeout clocks, the stopwatches and their logs are saved in your browser on that device for up to 12 hours. This stays on your device.
Private demo visitors. If you are invited to a private product demo, we keep the email address on the invitation list, the time you last viewed the demo and how many times, and a short-lived code we email you to confirm it is you. We use this only to run the demo and to remove your access when you or we ask.
Trusted devices (our administrators). Our own admin pages can remember a device for 30 days so a verified administrator is not asked for a second-step code at every sign-in. We store a hashed random token, the browser type, the IP address and the country for that device, and ask again on a new device, after 30 days, or from a different country.
Login activity. We record how many times you have signed in, the date and time of your latest sign-in, and how long your latest session lasted. We use it, together with usage hours, to support and improve the service and to see when an account may need help getting started.
Post-it notes. Post-it notes you create from the Notepad are saved only in your browser on that device. They are not uploaded to our servers, so we cannot see or recover them, and they are not available on other devices.
Linked documents and pop-out windows. A Reference Button or Web Link can open a web address you choose, such as a Google Sheet or Google Doc, in a separate browser window. That page loads directly from the provider under your own sign-in with them. We store the address you enter, but we do not receive your sign-in details for that provider or the contents of the linked document. If you choose to open pop-out windows on another monitor, your browser asks your permission first, and we do not receive information about your screens.
Imports. Files you import into the Promo Tracker (CSV, Excel or Word) are read in your browser and are not uploaded; you review the result on a screen before anything is saved to your templates.
Pro+ inquiries. The Pro+ inquiry form in the app and on our website does not send anything to our servers: when you tap Send, it opens your own email program with a message to support@jjselite.com containing the name, organization, event type, the options you ticked and message you typed, and your GPM account ID if you are signed in, which you then send from your own email account. We receive it as an ordinary email. Pro+ is not sold at this time; if it is offered later, the storage of any video, photo or script files will be described in a separate agreement and privacy addendum before any such files are collected.
Trial requests. If you submit a trial or demo request form, we collect the contact details and message you provide.
Links you set. In Admin you can enter an event website and a date-related website, and Web Links; these web addresses are saved with your settings, and the links open in a new browser tab when you click them. Your Break and Timeout clock defaults, decibel button names and decibel peak history are saved with your settings or kept on your device during use as described above.
Usage and device data. Login timestamps, session identifiers, browser type, IP address as seen by our hosting and security providers, app version, and general session activity, used to limit the number of devices signed in at once (one device per account: the owner, each teammate and each View-Only viewer), to apply updates, to prevent abuse of the free trial, to secure the Service, and to troubleshoot support requests. Our team can see account-level records (such as your email, name, GPM account ID, plan and status) in an internal, access-restricted admin page protected by two-factor authentication.
View-Only live view. When an account owner has a View-Only seat, the owner’s screen sends its current Break clock, Timeout clock, Event Countdown cues, and Decibel Meter reading (numbers only, no audio) to the account, so that the View-Only user can see them live. Only the owner and the owner’s View-Only users can read this information, and it is replaced each time it updates.
View-Only connection status and the View-Only Decibel Meter. A View-Only user's screen reports to the account that it is connected (a connection time stamp that is refreshed every few seconds) so the account owner can see whether a viewer is receiving the live view. If a View-Only user chooses to use their own Decibel Meter instead of the owner's, their device uses its microphone to measure sound level on the device; only the resulting number and the weighting used (A or C) are sent to the account, so the owner's screen can show it. Audio is not recorded, stored or transmitted. The View-Only user can switch back to the owner's meter at any time, which turns their microphone off. The owner's screen also sends a short signal every few seconds so View-Only users can tell whether the owner's screen is online. Only the account owner and that owner's View-Only users can read this information.
View-Only layout. If you use a View-Only seat, the boxes you hide and your saved layouts are stored in your own account settings so that they follow you to any device.
Test accounts. If we create a test account for you, we store your name, your email, the start and end dates of the test, and your organization name and an optional private note we write about the account. We may email you a reminder before the test ends. If your test account is in a test group, we also record that you accepted the Beta Testing Agreement (your account, the date and time, the version and the text you agreed to), and we may email you about the test.
Time checks. To keep the Time of Day clock accurate, the app regularly asks our hosting provider's nearest server (and, if that fails, our database) for the current time. These are ordinary web requests that include your IP address as seen by those providers. We do not store the results of these checks.
Microphone audio and speech. If you enable the Decibel Meter or Voice Note features, your browser accesses your microphone directly after you grant permission. Voice note recordings and transcripts are stored only on the device you recorded them on, for up to 48 hours, and are not uploaded to our servers (so they are not available on other devices or from us); delete them sooner from the Voice Notes archive; live decibel readings are processed in your browser in real time and are not separately stored or transmitted to us. Some browsers perform speech-to-text (for Voice Notes or voice search) or text-to-speech (for voice callouts) using their maker's cloud service, which means your audio or the text to be spoken may be sent to that company (for example Google, Apple or Microsoft) under its own privacy policy. That transmission is made by your browser, not by us, and we do not receive that audio. If you prefer to avoid it, do not use the voice features or choose a browser or device voice that works on-device.
Payment information. Collected and stored by Stripe, our payment processor — we receive only a transaction reference, subscription status, and limited card details such as brand and last four digits, never your full card number. To detect repeated free-trial sign-ups, we also keep for 12 months a one-way (hashed) version of the card fingerprint Stripe provides and of a normalized form of your email address. These hashes cannot be used to recover your card number or email.
Third-party connections you choose to make. If you connect Slack, Microsoft Teams, or an AI Search provider, we store the authorization token or API key needed to maintain that connection. When you use AI Search or Stored Data search, your question and relevant excerpts of your uploaded documents and Reference Button files are sent to the AI provider you connected, using your own API key. We do not store the content of your Slack or Teams messages beyond what's needed to display them to you in the Service. Your AI provider's use of that data is governed by its own terms.
Emails we send and receive. When you choose Email on an Event Summary, Voice Notes archive, Promo Tracker run sheet, Promo Tracker report or To Do list, the content (and any audio, PDF or HTML file you attach) is sent through our email provider, Resend, only to the email address on your own account or the report recipient you set. We do not keep a copy of that content after it is delivered. We also send transactional emails through Resend, including activation links, verification codes, invitations, password-change and cancellation confirmations, billing notices (including payment-failed notices and a reminder before a free trial converts to paid), Sync invitations, and a welcome email with the Get Started Guide after you subscribe. These are service messages, not marketing. If we later send marketing email, we will do so only with your consent and each message will include an unsubscribe link. Emails you send to support@jjselite.com, including Feedback and Contact Support messages, are received by us as ordinary email and may include any screenshot you attach. Please do not include passwords or payment details in a screenshot.
Seat changes. When an owner adds or removes a seat add-on, we record the date, which seat, the amount charged and tax, the Stripe invoice number and any note, and show it to our administrators on the account. Payment itself is handled by Stripe; we do not receive your card number.
Sync (Break and Timeout clocks). If you use Sync, we store a connection record: the two account holders, the email or GPM account ID you typed to find the other person (used only to look up the account), the display names or email addresses shown to each other, which clocks are shared, the status (pending, active, declined, ended or expired), and dates, including the seven-day expiry of an invitation. While a master is connected, we also store the current state of the master's Break and Timeout clocks (running or paused, the value, direction, duration and a server time stamp) and the latest one-line message for each clock, which is overwritten each time and is not kept as a history. When a synced person presses "Read" on a message, we record which message they read, their display name and the time, and show that to the master; these records are replaced when the next message is read. We also keep a list of the people each person has been synced with (name and account link) so that they can reconnect with one tap; an invitation or request to reconnect still has to be accepted by the other person. Requests to add a clock are stored on the connection record until the master approves or denies them. This information is visible to the people synced with that master and to the View-Only viewers of those people, and is delivered in real time through our database provider. We send the invited person one email about the invitation through our email provider, Resend. We do not tell the inviter whether an email address has an account. Connection records are kept while the connection is open and for a reasonable period afterward, and are removed when an account is deleted.
Billing notices and card updates. If a renewal payment fails, we record that on your subscription record, email the owner, show the owner a notice in the app, and notify our team. About 48 hours before a free trial converts to paid, we email the owner the date and the amount to be charged. When you choose "Update payment method," you are sent to a secure page hosted by Stripe; we do not see or store your card number.
Stored Searches. The questions you ask in Stored Data search and AI Search, the answers, and their source links are kept in your browser on the device you used (up to 100 of each type) so you can reopen them. They are not saved to our servers by this feature, they do not follow you to another device, and you can delete them at any time from the Stored Searches list. If you email, print, copy or save a search, it goes where you send it.
Saved Web Links. The web addresses you save under Web Links in Admin are stored with your settings. When you use AI Search, up to three of them are sent with your question to the AI provider you connected, as preferred sources.
Spoken searches. If you use the microphone beside a search box, your browser may send the audio to its speech-recognition service (for example Google, Apple or Microsoft) to turn it into text; the audio is not sent to or stored by us.
Pro+ accounts. For Pro+ customers, an account representative creates the account using the email address you give us and a temporary password you are asked to change; we also receive the details of any official timing, scoring or statistics feed, and any access credentials you or your league provide so we can connect it.
Weather. To show conditions and alerts for your venue, the Service sends the venue location you enter to public weather services (such as the U.S. National Weather Service and MET Norway) through our servers. No other personal information is sent for this purpose.
AI provider and model. If you connect an AI provider, the provider and model you choose in Admin (and any reference documents you ask the AI to consult) are sent to that provider with your search question, using your own API key, under that provider's terms.
Agreement records. When you accept the Terms of Service, the Privacy Policy or a Beta Testing Agreement, we keep a record of your account, email address, the version you accepted, the exact text you agreed to, and the date and time. We keep these records for as long as needed to show what you agreed to, even if your account is later deleted.
We use your information to: provide, maintain and improve the Service; apply updates; process payments and manage your subscription; send account, billing, and trial-related emails (activation links, renewal notices, cancellation confirmations, welcome email); respond to support requests and identify your account using your GPM account ID; detect, investigate and prevent abuse, fraud or unauthorized access; enforce our Terms, including our confidentiality and intellectual-property terms, and keep the records described above; and comply with legal obligations. We do not use Your Content to train AI models.
We share data only with the service providers ("processors") who help us run GPM Companion, each only to the extent needed to perform their function:
| Processor | What they handle |
|---|---|
| Supabase | Database, authentication, real-time updates, and file storage for the Service (account records, settings, templates, uploaded documents, license and session records, Sync connection records and live clock state) |
| Stripe | Payment processing and subscription billing; stores your card details and the GPM account ID on your customer record |
| Resend | Transactional email (account activation, verification codes, invitations, Sync invitations, welcome email, billing and cancellation notices, and reports you choose to email) |
| Cloudflare | Website and application hosting, delivery and security |
| Slack / Microsoft | Only if you connect them — team messaging integration |
| Your chosen AI provider | Only if you connect one — processes your AI Search queries using your own API key |
| Public weather services (U.S. National Weather Service, MET Norway) | Receive the venue location you enter to return conditions and alerts |
| Your browser maker | Only if your browser uses a cloud speech service for voice features — handled by your browser under its own policy, not by us |
We may also disclose information if required by law, subpoena or legal process; to protect the rights, safety or property of us, our customers or others; or in connection with a merger, acquisition or sale of assets, in which case we will require the new owner to honor this Policy for your existing information.
We do not sell your personal information to third parties, and we do not share it for third-party advertising purposes.
We retain your account data for as long as your account is active. If you cancel your subscription, we retain your data for a reasonable period in case you resubscribe, then delete it, and you can ask us to delete it sooner by contacting support@jjselite.com. Free-trial abuse-prevention hashes are kept for 12 months. Sync connection records are described in Section 1. We may keep limited records longer where required for tax, accounting, fraud-prevention or legal purposes. Data stored only on your device (such as voice notes, which are kept for up to 48 hours) is controlled by you and your browser and is not retained by us.
Depending on where you live, you may have rights to access, correct, delete, or export your personal information. To exercise any of these rights, contact support@jjselite.com and include your GPM account ID if you have it. You can also update your team branding and account details directly in Admin and Account Settings at any time, delete uploaded documents and templates yourself, and cancel your subscription from Account Settings. You can control microphone access in your browser settings at any time.
The marketing site and application use essential cookies and browser local storage to keep you signed in, enforce device limits, apply updates, and remember your preferences, Stored Searches and other on-device logs. The website shows a cookie notice. We do not use third-party advertising or tracking cookies. If we add analytics or error-monitoring tools in the future, we will update this Policy and, where required, ask for your consent first. You can clear cookies and local storage in your browser, but doing so signs you out and removes on-device data.
We use industry-standard safeguards, including encrypted connections (HTTPS), database-level access controls, two-factor authentication for our internal admin access, and rate limiting on sign-up and activation, to protect your data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we learn of a breach affecting your personal information, we will notify you and regulators as required by law.
The Service is intended for use by adults 18 and older who direct live events professionally. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact support@jjselite.com and we will delete it.
If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you specific rights over your personal information.
Categories we collect (mapped to the statutory categories, Cal. Civ. Code § 1798.140): identifiers (name, email, GPM account ID, IP address); commercial information (subscription and billing history); internet/network activity (login and session data); and audio/electronic information (voice note recordings and their transcripts, which stay on your device, if you use that feature). We collect these from you, your devices, and our payment processor, for the business purposes described in Section 2, and disclose them to the processors listed in Section 3.
We do not sell or share your personal information as those terms are defined under the CCPA/CPRA — we do not exchange it for money or for cross-context behavioral advertising.
Your rights: to know what we collect and why; to delete your personal information; to correct inaccurate information; to limit use of sensitive personal information (voice recordings may qualify — we already use them only to provide the Service to you, never for any other purpose); and to not be discriminated against for exercising any of these rights.
How to exercise these rights: email support@jjselite.com. We will verify your identity before fulfilling a request and will respond within 45 days, as required by law. You may designate an authorized agent to make a request on your behalf.
Other U.S. states. Residents of some other states have similar rights under their own privacy laws; you may use the same contact above, and we will honor valid requests as required by the law that applies to you.
If you access the Service from the United Kingdom, European Union, or European Economic Area, the UK GDPR and/or EU GDPR apply to our processing of your personal information.
Data controller. JJ Sports Entertainment, Inc. is the controller of your personal information.
Legal basis for processing. We process your information to perform the contract you enter into when you subscribe (providing the Service); based on our legitimate interests in keeping the Service secure and preventing abuse; based on your consent where you choose to connect optional integrations like Slack, Microsoft Teams, or an AI provider; and to comply with legal obligations such as tax and accounting requirements.
International data transfers. Your information is processed and stored in the United States by our processors (Supabase, Stripe, Resend, Cloudflare — see the table above). Transfers of personal information out of the UK/EU/EEA rely on Standard Contractual Clauses or an equivalent safeguard under each processor's own data processing agreement.
Your rights. You have the right to access, correct, or erase your personal information; to restrict or object to our processing of it; to receive a copy of it in a portable format; and to withdraw consent at any time where processing is based on consent. You also have the right to lodge a complaint with your local data protection supervisory authority (for example, the UK's Information Commissioner's Office, or your EU member state's equivalent).
Automated decision-making. We do not use automated decision-making or profiling that produces legal or similarly significant effects on you. Our trial-abuse checks flag repeat sign-ups for review and may limit or end a trial; you can contact support@jjselite.com to have a decision reviewed by a person.
You may enter or record information about other people in the Service, such as teammates, sponsors, talent, or voices captured in a Voice Note. You are responsible for having the right to do so and for complying with laws that apply to that information. See the Terms for recording laws.
We may update this Privacy Policy from time to time. We will notify you of material changes by email or in-app notice before they take effect, and the "Last updated" date above will change.
Questions about this Privacy Policy or your data, or to exercise your rights: support@jjselite.com.
